Custom Fields

WittyForm CRM comes with standard contact fields like name, email, phone, and company. But every business tracks different information. Custom fields let you extend contact profiles with the exact data points your team needs.

Adding Custom Fields

Go to CRM > Settings > Custom Fields and click Add Field. Give your field a name and choose the field type:

  • Text: A single-line or multi-line text input. Use for notes, job titles, addresses, or any free-form data.
  • Number: Accepts only numeric values. Use for quantities, scores, or monetary amounts.
  • Dropdown: A predefined list of options the user selects from. Use for categories like industry, lead source, or plan tier.
  • Date: A date picker for tracking dates like renewal date, last contacted, or birthday.
  • Checkbox: A simple true/false toggle. Use for flags like "Opted in to newsletter" or "Is a partner."

Required Fields

When creating or editing a custom field, you can mark it as Required. This means the field must have a value whenever a contact is created or edited manually. Required fields display an asterisk next to their label and prevent saving if left empty. Note that auto-created contacts from form submissions may not have the required field filled: they will be saved with the default value instead.

Default Values

Every custom field can have a default value. When a new contact is created and the field is not explicitly set, the default value is used. For dropdown fields, you can set one of the predefined options as the default. For checkbox fields, you can choose whether it defaults to checked or unchecked.

Using Custom Fields in Filters

Once you have created custom fields, they appear as filter options in the contact list. For example, if you have a "Lead Source" dropdown field, you can filter your contact list to show only contacts where Lead Source equals "Referral." Custom fields also work in saved views, so you can create a view for each segment you care about.

Editing Field Order

In CRM > Settings > Custom Fields, drag the fields to rearrange their display order. The order you set here determines how fields appear on the contact profile and in the edit form. Standard fields (name, email, phone, company) always appear first, followed by your custom fields in the order you define.

Editing and Deleting Fields

You can rename a custom field or change its settings at any time. If you delete a custom field, the data stored in that field for all contacts is permanently removed. WittyForm will ask you to confirm before deleting to prevent accidental data loss.
