WittyForm uses email templates to structure the content of notification and confirmation emails. Templates support dynamic variables so each email is personalized with the respondent's information and submission data.

Admin Notification Template

The admin notification template is used for emails sent to you and your team when a new form submission arrives. By default, it includes the form name, submission date, and a summary of all responses. You can customize the template in Settings > Email > Templates > Admin Notification.

Common customizations include adding your company logo to the header, changing the subject line format, and selecting which form fields to include in the email body versus linking to the full submission in the dashboard.

Submitter Confirmation Template

The submitter confirmation template (also called the auto-responder) is sent to the person who submitted the form. This email confirms their submission was received and can include a copy of their responses. Enable it per form in Form Settings > Notifications > Submitter Confirmation.

Best practices for confirmation emails include thanking the respondent, setting expectations for next steps (e.g., "We will review your submission within 48 hours"), and providing a contact email for questions.

Template Variables

Both templates support dynamic variables that are replaced with actual data when the email is sent. Available variables include:

  • {{respondent_name}}: The name of the person who submitted the form (if a name field is present).
  • {{respondent_email}}: The email address of the submitter.
  • {{form_name}}: The title of the form that was submitted.
  • {{submission_date}}: The date and time the form was submitted.
  • {{form_link}}: A direct link to view the submission in the WittyForm dashboard.
  • {{field:Field Name}}: The response value for a specific form field. Replace "Field Name" with the exact field label.
  • {{all_responses}}: A formatted summary of all questions and answers from the submission.

HTML vs Plain Text

WittyForm templates are HTML by default, which allows rich formatting including headings, bold text, colors, images, and your brand logo. The template editor provides a visual editor for easy customization.

A plain text version is automatically generated from the HTML content. This is used as a fallback by email clients that do not support HTML. You can also edit the plain text version separately if you want it to differ from the HTML version.

Preview and Test

Before activating a template, use the Preview button to see how it will look with sample data. The preview fills in all variables with realistic example values so you can check formatting and layout. Click Send Test to receive an actual email in your inbox with the template applied. This is the best way to verify that your template looks correct across different email clients.
