Google Drive Integration

5 min read

The Google Drive integration automatically saves file uploads from your WittyForm submissions directly to your Google Drive. Instead of downloading files manually from each response, they appear in a Drive folder organized by form and submission.

What It Does

When a respondent submits a form that includes file upload fields, the Google Drive integration automatically copies those files to a designated folder in your Google Drive. The files in WittyForm’s storage remain intact — the Drive copy is an additional backup that makes files easier to access, share, and organize using Google’s tools.

This is especially useful if your team already works in Google Drive and wants uploaded resumes, documents, images, or other files to appear alongside their existing files without any manual steps.

Connecting Your Google Account

To set up the Google Drive integration:

  1. Go to Settings > Integrations in your WittyForm workspace.
  2. Find Google Drive in the integrations list and click Connect.
  3. A Google sign-in window will appear. Sign in with the Google account that owns (or has edit access to) the Drive where you want files saved.
  4. Grant WittyForm the requested permissions. WittyForm requests access only to create and manage files in a specific folder — it does not read or modify your existing Drive files.
  5. After authorization, you will be redirected back to WittyForm. The integration status will show as Connected with the Google account email displayed.

Selecting a Destination Folder

After connecting your account, choose where uploaded files should be saved:

  1. Click Choose Folder in the Google Drive integration settings.
  2. A folder picker will appear showing your Google Drive folders. Navigate to the folder you want or create a new one.
  3. Select the folder and click Save.

All file uploads from all forms in your workspace will be saved to this folder by default. You can override this on a per-form basis in the form’s integration settings.

File Naming Conventions

WittyForm names files saved to Google Drive using a structured format so you can identify them at a glance:

[Form Name] - [Respondent Identifier] - [Original Filename]

For example: Job Application - [email protected] - resume.pdf

The respondent identifier uses the email field value if your form has one. If there is no email field, it falls back to the submission ID. You can customize the naming pattern in the integration settings by choosing which field values to include in the filename.

Folder Structure

WittyForm organizes files in Google Drive using a folder hierarchy:

  • Root folder — The destination folder you selected.
    • Form name folder — A subfolder is created for each form that receives file uploads. The folder name matches the form title.
      • Submission folders (optional) — If enabled, each submission’s files are placed in their own subfolder named with the submission date and respondent identifier.

You can toggle the per-submission subfolder structure on or off. With it off, all files from a form go into the form’s folder directly, which works well for forms that receive one file per submission.

Viewing Synced Files

After files are synced to Google Drive, you can find them in the destination folder you configured. Each file is a standard Drive file that you can:

  • Preview directly in Google Drive without downloading.
  • Share with team members using Drive’s sharing controls.
  • Open in Google Docs, Sheets, or Slides if the format is compatible.
  • Search for using Google Drive’s search functionality.
  • Organize further by moving files to other folders within Drive.

In WittyForm’s response detail view, a Google Drive link icon appears next to each synced file, letting you jump directly to the file in Drive.

Sync Status

You can check the sync status of the Google Drive integration in your workspace settings:

  • Last synced — The timestamp of the most recent file sync.
  • Files synced — Total number of files that have been copied to Drive.
  • Errors — Any files that failed to sync, with error details and a retry option.

Files are synced within seconds of a form submission. If there is a temporary issue with Google Drive, WittyForm retries the sync automatically for up to 24 hours.

Disconnecting

To disconnect the Google Drive integration:

  1. Go to Settings > Integrations.
  2. Find Google Drive and click Disconnect.
  3. Confirm the disconnection.

Disconnecting stops future file uploads from being synced to Drive. Files that were already synced remain in your Google Drive — they are not deleted. Files also remain in WittyForm’s storage regardless of the integration status.

If you want to revoke WittyForm’s access to your Google account entirely, you can also do so from your Google Account security settings under “Third-party apps with account access.”

Best Practices

  • Create a dedicated folder in Google Drive for WittyForm uploads to keep them organized and separate from your other files.
  • Use the per-submission subfolder option when forms collect multiple files per response to keep each submission’s files grouped together.
  • Set up Google Drive sharing on the destination folder to give your team access to all uploaded files automatically.
  • Customize the file naming pattern to include the most useful identifier for your workflow (email, name, submission date, etc.).
  • Check the sync status periodically, especially after launching a new form, to ensure files are being saved correctly.
  • If you use multiple Google accounts, make sure you connect the account that has access to the Drive where you want files stored.
