Managing Form Responses

Every time someone fills out your form, their submission is saved as a response. WittyForm provides a full set of tools to view, search, filter, export, and manage your responses efficiently.

Viewing Responses

To view responses for a specific form, open the form and click the Responses tab. You will see a table with each submission listed as a row. Each column corresponds to a field in your form.

Click on any row to open the full response detail view, which displays all the answers in a clean, readable layout along with metadata like submission date, time, and the respondent's device information.

Filtering Responses

Use filters to narrow down your responses and find exactly what you need. Click the Filter button above the response table to add conditions:

  • By field value: Show only responses where a specific field matches a value. For example, filter to see only responses where "Country" equals "United States."
  • By date range: Show responses submitted within a specific time period.
  • By completion status: Filter for complete or partial submissions.

You can combine multiple filters for precise results. All active filters appear as chips above the table and can be removed individually.

Searching Responses

The search bar at the top of the responses view lets you search across all text fields in your submissions. Type a keyword or phrase and the table instantly filters to show matching responses. This is useful for finding a specific respondent or looking for particular answers.

Exporting Responses

Export your data for use in spreadsheets, databases, or other tools. Click the Export button above the response table and choose a format:

  • CSV: Comma-separated values file, compatible with virtually any spreadsheet application including Google Sheets and Excel. Available on all plans.
  • Excel (.xlsx): Native Excel format with proper column formatting. Available on Pro and Enterprise plans.
  • PDF: Formatted, printable document. Available on Pro and Enterprise plans.
  • JSON: Structured data format ideal for developers or importing into other systems. Available on Pro and Enterprise plans.

Exports include all responses by default. If you have active filters, only the filtered responses will be exported: letting you download exactly the subset you need.

Deleting Responses

To delete individual responses, select them using the checkboxes on the left side of the table and click Delete. You can also delete a single response from the detail view by clicking the Delete button.

To delete all responses for a form, click the three-dot menu on the Responses tab and select Delete All Responses. This action is permanent and cannot be undone, so you will be asked to confirm.

Tip: Export your responses before deleting them if you might need the data later.

Response Notifications

Stay informed about new submissions without constantly checking the dashboard. Configure notifications for each form:

  1. Open the form and go to Settings > Notifications.
  2. Toggle Email notifications to receive an alert each time a new response is submitted.
  3. Add additional email recipients if team members should also be notified.

Notification emails include a summary of the response and a direct link to view the full submission in your dashboard.

Response Insights

Beyond the raw data, WittyForm provides visual summaries of your responses. Switch to the Summary view on the Responses tab to see:

  • Charts and graphs for multiple-choice, dropdown, and rating fields.
  • Word clouds for open-ended text responses.
  • Average scores and distributions for numeric fields.
  • Response trends over time.
