Managing Contacts
Every form submission in WittyForm can automatically create a contact in your built-in CRM. This gives you a single place to track everyone who has ever interacted with your forms, without needing to export data to a separate tool.
How Contacts Are Auto-Created
When someone submits a form that includes an email field, WittyForm automatically creates a contact record using that email as the unique identifier. If the form also captures a name, phone number, or company, those fields are mapped to the contact profile automatically.
If a contact with the same email already exists, the submission is linked to the existing contact rather than creating a duplicate. This keeps your contact list clean and your data connected.
Viewing Contact Profiles
Navigate to CRM > Contacts in the sidebar to see your full contact list. Click on any contact to open their profile, which includes:
- Contact details: Name, email, phone, company, and any custom fields.
- Activity timeline: Every form submission, email sent, and manual note logged against this contact.
- Deals: Any deals associated with this contact and their current pipeline stage.
- Tags: Labels you have applied for segmentation and filtering.
Editing Contact Info
On any contact profile, click the Edit button to update their details. You can change the name, email, phone, company, and any custom fields. Changes are saved instantly and reflected everywhere the contact appears.
Importing Contacts
If you have an existing contact list, you can import it via CSV. Go to CRM > Contacts > Import and upload your file. WittyForm will map your CSV columns to contact fields and show you a preview before importing. Duplicate detection runs automatically based on email address: you can choose to skip duplicates, update existing records, or create new entries.
Bulk Actions
Select multiple contacts using the checkboxes in the contact list to perform bulk actions:
- Tag: Apply one or more tags to all selected contacts at once.
- Delete: Permanently remove the selected contacts and their associated data.
- Export: Download the selected contacts as a CSV file for use in other tools.
You can also select all contacts matching your current filter criteria by clicking the "Select all" checkbox at the top of the list.
Merging Duplicates
Occasionally, duplicates can appear if a contact submits forms using different email addresses. To merge two contacts, open one of them and click Merge Contact. Search for the duplicate, then choose which profile fields to keep. All activity history from both records is combined into the merged contact.
Searching and Filtering
Use the search bar at the top of the contacts list to find contacts by name, email, phone, or company. For more advanced filtering, use the filter panel to narrow by:
- Tags (e.g., show only contacts tagged "VIP")
- Date created (e.g., contacts added in the last 30 days)
- Form source (e.g., contacts who submitted a specific form)
- Custom field values (e.g., contacts where "Industry" equals "Healthcare")
- Lead score range (e.g., contacts scoring above 80)
Filters can be combined to create very specific segments. Once applied, you can save a filter as a view for quick access later.
